Privacy Notice (How we use your information)

The categories of pupil information that we process include: 

  • personal identifiers and contacts (such as name, contact details (including mobile phone numbers and e-mail addresses and postal address)
  • Emergency contact details, which may differ from those referred to above.
  • safeguarding information (such as any health requirements (e.g., asthma suffer), recent injuries, etc.)
  • attendance (such as recording attendance at training sessions, matches and including as appropriate: minutes played, positions, goals scored, etc. and potentially absences and absence reasons).
  • assessment and attainment (this may vary from coach to coach, however some coaches as part of their training programme may record points related to your child’s footballing capability, areas of improvement, footballing likes and dislikes)

Why we collect and use your information

We collect and use your personal data and that of your child, for the following purposes:

  1. To provide details to enable your child to be registered with the relevant FA affiliated youth football league(s). If you are not aware of which league(s) your child has been registered with please ask your coach or e-mail the Belvedere club secretary.
  2. to support your child’s football development and learning
  3. to assess the quality of the coaching being provides
  4. to keep your child safe (food allergies, or emergency contact details) and to provide appropriate medical and health care if necessary
  5. to meet the duties and obligations imposed on the club by the Football Association and the FA affiliated youth football leagues.
  6. To enable us to process your monthly payments
  7. To enable you and your Child to enjoy the activities made available by the Club.
  8. To enable the Club from time to time to use images of your Child on the Club website or associated Social Media outlets. Images will only be used in accordance with FA Child Protection guidelines. (Copies of the guidelines are available from the Club Secretary)
  9. League officials, including referees and tournament arrangers. 

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing you and your Child’s personal data are: 

  • That it is the legitimate interests of the Club to do so in order to enable the Club to provide the services and undertake the activities described above to your Child; and
  • In accordance with the terms of the Club Registration Form and our Rules to meet the Club’s contractual obligations to you.

In addition, concerning any special category data (e.g.,health information):

  • By virtue of supplying health information about your child you explicitly consent to the Club processing that personal data to manage the health of your Child.

How we store your data

We hold both you and your Child’s personal data from the time you provide the completed Club Registration Form until such time as you provide a renewal Club registration Form or you terminate your Child’s association with the Club.

Who we share your Child’s personal data with

We will share your Child’s information with:

  • The coach responsible for the team your child will play for
  • The relevant FA affiliated youth football league(s).
  • Supplier’s to the Club (as appropriate) e.g., for the engraving of medals and awards.

Requesting access to your personal data

Under data protection legislation, you and your Child  have the right to request access to the information that we hold. To make a request for your personal information, or be given access to your child’s information, contact the Belvedere Club Secretary (details provided above).

You also have the right to:

  • object to processing of personal data that is likely to cause, or is causing, damage or distress
  • prevent processing for the purpose of direct marketing
  • object to decisions being taken by automated means
  • in certain circumstances, have inaccurate personal data rectified, blocked, erased or destroyed; and
  • a right to seek redress, either through the UK regulator – the Information Commissioners Office, or through the courts
